The Facilities and Equipment Manager is responsible for and supervises the maintenance, care, and efficient operation of all facilities and equipment used by the organization.

Responsibilities

Supervisory Responsibilities:

  • Oversees the daily workflow, scheduling, and assignments of the facilities and office services department.
  • Conducts routine evaluations of all facilities and equipment that are timely and constructive.

Duties/Responsibilities:

  • Acts as a trusted advisor and contact for tenants and property management and anticipates the needs of tenants and acts on issues before they become aware of them.
  • Ensures facilities are secure, safe, and ready for regular business and special events.
  • Oversees and coordinates maintenance to ensure tenant complaints are addressed timely.
  • Inspects and is able to perform basic maintenance on facilities and collaborates with external vendors to maintain facilities.
  • Manages relationships, schedules appointments, and handles payments to external vendors used to maintain facilities and equipment.
  • Maintains files of COIs, warranties, records, licenses, inspections, service agreements, and contracts.
  • Manages the inventory and storage of office supplies, food and beverage, and other office equipment.
  • Provides recommendations for purchases of new equipment and maintenance needs and collaborates with appropriate management staff to prepare and implement budget on facilities related purchases.
  • Ensures compliance with all applicable building codes and standards and makes certain that all health and safety regulations are met.
  • Develops and implements emergency action plans that outlines procedures for emergencies and conducts regular drills.
  • Manages employee IDs and building access cards.
  • Planning and execution of onsite office events (i.e. Happy hours/culture events/etc). Requirements include ordering catering or coordinating with hired chef, decorating, setting up and cleaning in partnership with Receptionist and Office Assistant.
  • Performs other related duties as assigned.

Qualifications

Required Skills/Abilities:

  • Basic understanding of or ability to quickly learn the equipment and facilities to be maintained.
  • Ability to maintain basic records, vendor contracts, inspections, and service agreements.
  • Excellent communication and customer service skills.
  • Outstanding organization skills and the ability to prioritize work.
  • Ability to perform general and basic maintenance as needed, i.e painting, assembling furniture, simple repairs.
  • Proficient with Microsoft Office Suite or related software as required to complete and maintain records.

Education and Experience:

  • Associate’s degree required; Bachelor’s degree preferred.
  • Experience managing the company’s type of facilities, equipment, and events preferred. 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Must be able to access and navigate all areas of the facilities.

In accordance with New York City's Pay Transparency Law, the base salary range for this role is $75,000 to $150,000. Base salary does not include other forms of compensation or benefits.
